The definition of Groupware (as taken from www.whatis.com) is "Groupware refers to programs that help people work together collectively while located remotely from each other. Groupware services can include the sharing of calendars, collective writing, e-mail handling, shared database access, electronic meetings with each person able to see and display information to others, and other activities."

In addition groupware is also translating to include services like document management, in-house form requests, report filing, and dynamically generated Standard Operating Procedures and Operating Manuals.

Customized application can be developed for an intranet that can handle a wide variety of tasks and applications, that are embedded within a group environment. A good example to consider is that of an employee filling out a "Travel Request Form" which then goes (electronically) to the administration manager (H.R.) who then approves it (electronically) and sends it across to the Department Manager for final approval, for the travel request to be officially executed. All this is handled electronically, keeping logs on each and every part of the process with an option to interface with the company's Accounting system, HR System, and other relevant systems.

Contrary to popular belief, intranets, running groupware applications that have been specifically designed, do not slow down the existing paper trail, or are inherently very complex or cost a fortune to deploy. There is no truth to the statements above. A properly designed intranet, has a high ROI (Return on Investment). Industry average ROIs for Intranet are typically yielding 38% annually. For specialized applications like inventory, library management, standard operating procedures etc. ROIs reported are much higher.

It makes sense to invest in an intranet, that can perform locally, link globally and is compliant with the existing data, applications, OS and platforms. To have a system that can be administered with ease, extremely low learning curves and offers a smooth, homogeneous and consistent environment to work in/with. Groupware intranet are just that. They are slowly evolving from the centralized core and expanding outwards to the desktop, and users are taking full advantage of this technology.
